Move Photos Out of Your Cornell Google Account

If your storage space is full or you are going to lose access to your account (which applies to students graduating or leaving without graduating, and to faculty/staff who leave without retiring), here are two methods for moving photos out of your Cornell Google Workspace account.

Free Up Space

If your problem is that your storage space is full, the first step is to empty the trash.

  1. Log in to Google Photos using your Cornell (netid@cornell.edu) account.
  2. In the left sidebar, click Trash.
  3. Near the top of the page, click Empty trash.

You can then check to see how much storage you're using.

Move Method 1: Transfer Photos to Your Personal Google Account

Set Up Partner Sharing

Google allows you to share access to your Google Photos with one other Google account. Here you will share access to your Cornell Google Workspace account with your Google personal account, so in Google's terms, your personal account is the "partner" in this equation.

  1. Using Google's Set up partner sharing document, follow the steps in the Share your photos with a partner section. In step 2 of their procedure, sign in to your Cornell Google Workspace account. in step 4, enter the email address of your personal Google account.
  2. From your personal Google account, using Google's Set up partner sharing document as your guide, follow the steps in these sections:
    • Accept a partner sharing invitation
    • Find your partner's photos
    • Save your partner's photos

This process may take some time.

Check That the Photos Are Saved

Before you delete the photos from your Cornell account, double check that the photos were copied successfully.

  1. From your personal Google account, using Google's Set up partner sharing document, follow the steps in the Remove a partner section.
  2. In your personal Google account, make sure you have all the copied photos. If they were not copied correctly, repeat the steps above.

You may then want to delete the photos from your Cornell Google account.

Move Method 2: Download Photos to Your Computer

Another way to move photos out of your Cornell Google account is to download them to your computer.

  1. Log in to Google Photos using your Cornell (netid@cornell.edu) account.
  2. Select all the photos:
    1. Click on the first photo.
    2. Shift-click the last photo.
  3. Click More Options (the three vertical dots at the right end of the toolbar), then click Download. A file named Photos-001.zip will download to your local device, using your browser's default location. (This is usually your Downloads folder.)
  4. Click on the file to expand it and confirm that you have the photos you wanted to save. If they were not copied correctly, repeat the steps above.

You may then want to delete the photos from your Cornell Google account.

Delete Photos From Your Cornell Google Account

  1. Log in to Google Photos using your Cornell (netid@cornell.edu) account.
  2. Delete all the photos:
    1. Click on the first photo.
    2. Shift-click the last photo.
    3. Click Delete (the trash can icon) in the toolbar (not the left sidebar).
  3. Then, to free up the space still used by those photos, in the left sidebar, click Trash.
  4. Near the top of the page, click Empty trash.

You can then check to see how much storage you're using.

Change Partner Sharing

This section is only for those who want to share with their personal account but are already sharing with another account; Google only lets you share with one account at a time.

  1. Log in to Google Photos using your Cornell (netid@cornell.edu) account.
  2. Click Settings (the gear icon in the toolbar).
  3. In the Partner Sharing section, you will see the email address of the person you are already sharing with.
  4. Click the down-facing arrow next to Partner Sharing. (If it is an up-facing arrow, skip this step.)
  5. At the bottom of the Partner Sharing section, click Remove partner, then click Remove in the confirmation message.

Now you can follow the steps in the Set Up Partner Sharing section above. After you have transferred your photos, you can remove this share and re-share with your previous sharing partner.
