Document Security in RingCentral

Adhering to Policy 5.10 guidelines in your responsibility

This article applies to: RingCentral

Various types of data are stored within your RingCentral account, including voicemails, faxes, text messages, images, and documents transmitted via chat.

Users individually manage creation, sharing and deletion of this information. System Administrators do not have access to user data.

Only information defined by University Policy 5.10 as “Low Risk” may be maintained in RingCentral.

"Low Risk university data is any information that the university has made available or published for the explicit use of the general public."

High Risk and Moderate Risk data must not be stored in your RingCentral account.

High and Moderate Risk data include (but are not limited to) credit card information, social security numbers, HIPAA data, and FERPA data. See Policy 5.10 for more complete information. MOST university data falls into the Moderate Risk category.

While you may not be able to control the voicemails and faxes you receive, you should remove all High and Moderate Risk data from your RingCentral account quickly.

No service in RingCentral should be developed that will communicate High Risk or Moderate Risk data as defined in Policy 5.10. A Risk Assessment is required for services involving higher risk data.
