Emailing Qualtrics Surveys to Large Numbers of People

If you plan to send a survey to more than 2,500 people, there are steps you need to take first.

Cornell University employs consistent procedures for notification and processing mass electronic mailings to the following constituencies: faculty, staff (academic and non-academic), students, and alumni. The university expects anyone sending mass electronic mailings to any or all of these constituencies to do so in accordance with the procedures outlined in Policy 5.2.

For all surveys that will be sent to more than 2,500 people, before you initiate the mailing, there are two steps you need to complete.

First, notify CIT using the Qualtrics support request form. Provide the email address from which the surveys will be sent (you'll set this address in the second step, below), the approximate timeframe that the mailing will occur, and the number of addresses to which it will be sent. The university and each account have limits to how many emails can be sent per week which is controlled by the vendor. This can be evaluated to be raised on request, but may take one or two business days to go through that process.

Second, set up the survey to come from a Cornell email address, preferably an Exchange Group Account (EGA) rather than the default address (invitation@surveys.mail.cornell.edu). When you are setting up the mailing as described in the Qualtrics Email Overview help page, specify this address as the From Address field.
