Prepare Bulkmail Address List in Salesforce

Documentation for the first of two stages for sending bulkmail using Salesforce and Marketing Cloud: uploading an address list to Salesforce. For the second stage, see Create and Send Bulkmail in Marketing Cloud.

Salesforce may not sync quickly enough with Marketing Cloud to upload addresses and send immediately. Plan to load email addresses into Salesforce the day before you intend to send the bulkmail message through Marketing Cloud.

Review Message for Custom Address Fields

Review or create the message draft to determine if custom or personalization fields are required for the address load (example: storage used).

Fit the CSV File to the Salesforce Template

  • If requesting a mailing list, ask for NetID, Email, First and Last Name fields. Bulkmail may be the first time an individual's record is introduced to Salesforce, which is why you need all four of these fields.
  • Use the Contact Upload Utility CSV template.
    • Do not change the order of the columns. 
    • Custom fields are optional. If used add them as column headers after the Campaign ID column: Custom Upload 1, Custom Upload 2, Custom Upload 3.
  • Leave the Campaign ID field blank until the campaign has been created.
  • NetID and Email fields must contain valid data. 

Create a Campaign in Salesforce

  1. Open Salesforce.
  2. Select the waffle grid (9 dots) on the top left and select Marketing Cloud Users.
  3. Select the Campaigns tab above the dark blue border.
  4. To create a new campaign, select the blue New button in the top right corner.
  5. Create a name for the New Campaign (ex: ADFS - EntraID transition) and complete these fields:
    • Active: check this box
    • Type: Email (default is Event)
    • Business Unit: MC (Mass Communications) 
    • Description: short note for your own use or reminder.
  6. Click Save in the lower right corner of the window.
  7. Copy the Campaign ID value from the URL (a string, following Campaign/ and save it somewhere. You will need it several times in the process.

Complete the CSV File

You can import up to 50,000 records at a time. Larger mailings will need to be split up.
  1. Paste the Campaign ID into the CSV file in the first cell under the appropriate column header.
  2. Paste the contents of the first cell for each of these columns into the rest of the rows:
    • Data Primer Template (Campaigns)
    • Data Primer Status (Unprocessed)
    • Data to import (Contact;Campaign Member;Campaign)
    • Campaign ID (a string copied from Salesforce, similar to 701RQ00000m2kPlYAI)

  1. Save as a CSV and close the file.

Import the CSV File

  1. Return to Salesforce. Be sure you are still seeing Marketing Cloud Users by the 9 dot grid, and the Campaigns tab is open.
  2. Click the gear icon in the top right corner and select Setup. This opens a new window. 
    • Note: there is also a gear icon in the gray area above the list of existing campaigns but it only offers the "New" option. If you selected that icon, you will know you are in the wrong one because you can't see Setup.
  3. Using the Quick Find search window, type in Data Import Wizard, then select that entry from the search results.
  4. Scroll down and click the dark olive green Launch Wizard! button.
  5. Complete the following three columns of selections:
    1. Column One: What kind of data are you importing? The default tab is Standard objects. Choose Custom objects
    2. Scroll down the very long list of Custom Objects and select Data Primers
    3. Column Two: What do you want to do? Choose Add new records.
    4. Scroll down the light blue column to the very end, and check the box for Trigger workflow rules and processes for new and updated records
    5. Column Three: Where is your data located? Drag CSV file here to upload or click CSV to browse for your file.
  6. Select Next in the bottom right corner of the page.
  7. Wait for the progress bar to reach the second bullet, Edit mapping, and check the three samples shown in the greyed out columns to the right.
  8. If they look correct, select Next. It may take some time for the progress bar to reach Start Import.
    • Before you choose the green Start Import button, you may see an error message that one, two, or three custom fields are unmapped. This usually occurs when the custom field names are not an exact match. Check your data to ensure you are using Custom_Upload_1, Custom_Upload_2, and Custom_Upload_3 and that these columns follow the Campaign_ID column in your CSV file. If you have unmapped columns, don't proceed with the data import. Go back and fix your CSV file and repeat the Set up steps again.
  9. Select Start Import in the bottom right corner of the page.
  10. A Congratulations, your import has started! popup will appear. Select OK to make that pop up go away – or ignore. Clicking OK just opens a new window to the Recently Viewed Contacts.
  11. When the import is complete, you will receive an email notification.
Wait for the import confirmation before continuing.

Verify the Campaign Record Count

  1. Return to the Campaigns tab.
  2. Locate and click on the campaign.
  3. Scroll down to Campaign Statistics, and compare the Contacts in Campaign count to the CSV row count.
If the Salesforce campaign record count does not match the CSV row count, resolve the discrepancy before proceeding. Marketing Cloud will only receive records successfully loaded into Salesforce.

Wait for the overnight sync between Salesforce and Marketing Cloud.

Troubleshooting Missing Records

  • Confirm the overnight sync has completed.
  • Verify the Campaign ID was copied correctly.
  • Verify the Salesforce campaign contains the expected record count.
  • Verify the Data Extension filter uses the exact Campaign ID.

Create a Marketing Cloud Data Extension

In step 6 and 10 below, if you are working on a laptop or with a small display screen, you may be unable to access the OK and Save buttons in the lower right of the pop-up window. If you don't have a second, larger display, to move that window onto, click Ctrl and - to shrink your screen until you can access those buttons, then click Ctrl and + to bring your screen back to 100%.

  1. Open Marketing Cloud and select Email Studio, then Email from the dropdown.
  2. Click Subscribers in the tabs at the top of the page.
  3. Select Data Extensions.
  4. In the folders on the left, navigate through Data Extensions > 02_CIT_COMM > Bulkmail folder.
  5. Click Create, a blue button in the top right corner of the page.
  6. Choose Filtered Data Extension and click the OK button.
  7. Under Select a Source, expand selections using the triangle icon for:
    1. Shared Items
    2. Shared Data Extensions
    3. 01_MassCommunications_Cornell
  8. From the pane on the right side of the window, select MC_All_Contacts then click OK
  9. Scroll down all the contact fields labeled "CON_" under MC_All_Contacts in the left pane to find two additional folders and expand the folder for Data Relationships.
  10. Expand the folder for MC Campaign Member.
  11. Drag and drop Campaign_Id to the Create Filter pane. 
  12. Choose the "is equal to" option.
  13. Paste your Salesforce Campaign ID.
  14. Select Save & Build.
  15. Enter a Name and Description then click Save.
  16. Confirm the expected record count.
  17. On the Properties tab, in the box that indicates whether it is Used for Sending and Used for Testing select Edit, then check the box Used for Sending and click Save.

Caveats

  • Do not send bulkmail to all faculty, all staff, or all students without approvals required by University Policy 5.2.
  • Coordinate alumni communications with Alumni Affairs and Development.
  • Do not send attachments through bulkmail. Publish content on a webpage and send a link instead.
