Section Administrator Guide (Entry-Exit)

Sections within a Unit correspond to the discrete work groups that will perform tasks when positions are filled or vacated. Some examples are HR, Desktop Support, and Building Care. Each Unit can decide for itself what their Sections will be; Sections are created by Unit Administrators.
Section Administrators
- creates and maintain Tasklist Templatess, Recipes, and assignments.
- create groups, which can be used as assignees.
- have visibility confined to their section’s tasklists and tasks assigned via those lists.
- is typically the supervisor of the work group that corresponds to the Section. It should be whoever knows best what tasks must be performed when Workers are on-boarded or off-boarded.
A section can have multiple admins.
Section Administration tasks are found on the Sections tab. The procedures below start with you looking at the contents of that tab.
Create a Tasklist Template
- Click Edit Templates on the appropriate section row.
- Enter a new Tasklist Template name, then click the Add New Template button that appears.
Rename an Existing Tasklist Template
- Click Edit Templates on the appropriate section row.
- In the Manage Tasklist Templates window that opens, click Edit Template on the current template you want to change.
- In the Edit Tasklist Template window that opens, enter a new Template Name, then click Save Template Name.
Delete a Task Template
- Click Edit Templates on the appropriate section row.
- In the Manage Tasklist Templates window that opens, click Delete Template on the template to be deleted.
- Confirm deletion.
Add a Task to a Tasklist Template
- Click Edit Templates on the appropriate section row.
- In the Manage Tasklist Templates window that opens, click Edit Template on the template where the task will be added.
- In the Edit Tasklist Template window that opens, click New Task.

In the Edit Task window that opens, enter your task information.
- Title - a short description
- Description - a complete description of the task. If detailed steps or other information is already available online, you can link to it here.
- Plus/minus days until due - Every event has an Effective Date. This fields indicates how many days before (negative number) or after (positive number) this task is due. If the task is due on the Effective Date, enter zero.

Assignees - Add Default Assignees by searching by Name or NetID. You can also enter an Assignee group if one has been created. Use the keyword "Supervisor" if the task should be performed by the person who supervises the position or the keyword "Worker" if the person in the position performs the task themselves. When this Template is used in a Tasklist for a specific event, these Default Assignees can be changed, if necessary, for that particular event.
An Assignee can be anyone, not just someone within the Unit or Section.
- Click Save when finished.
Delete a Task from a Tasklist Template
- Click Edit Templates on the appropriate section row.
- In the Manage Tasklist Templates window that opens, click Edit Template on the appropriate template.
- Click Delete Task for the task to be removed. Confirm deletion.
Assignee Groups
If tasks need to be completed by anyone in a workgroup or team, you can create Assignee Groups, then enter the group name as a task's Assignee, rather than entering each name separately. Groups are associated with sections. You can't use a group created for one section in another section's tasks.
To work with groups, click Edit Groups on the appropriate section row. Then perform the desired task in the Manage Groups window.
- To create a new group, enter a descriptive group name, then click Add New Group.
- To change the name of a group, click Edit Group next to the appropriate group name, then edit the existing group name. Click Save Group when finished.
- To add members to a group, click Edit Group next to the appropriate group name, then add by searching by Name or NetID. Click Save Group when finished.
- To remove members from a group, click Edit Group next to the appropriate group name, then click Delete on the member's row. Click Save Group when finished.
Maintain List of Section Administrators
- To add Section Admins, click Edit Admins on the Section's row. Add Section Administrators by searching by Name or NetID. Click Save Section when done.
- To remove Section Admins, click Edit Admins on the Section's row. Click Remove next to the appropriate administrator. Click Save Section when done.
