Policy Information

The Academic and Event Scheduling project will follow Cornell's space policies. Below is an overview of the policies that are being used in consideration of the project, and those that will undergo review in order to make changes necessary to encompass the need and use of space on campus. Space Management Principles

  • Provides a basis for making consistent decisions about space management throughout the university.
  • States that ownership of space begins with the President and Provost and is delegated out to the units and that accountability for space management begins locally and proceeds upward through organizational hierarchies.

Space Management Principles as Applied to Cornell Instructional Space

  • Defines the Provost as the steward for all instructional space and the final decision-maker regarding the best use of instructional space.
  • States the need for the Provost and deans to work together to optimize the use of these spaces.

Fees for Internal Users of Cornell Physical Space

  • Increase access to space or mission-driven activities.
  • Promote more efficient use of space.
  • Fees for internal users must be justified and approved.

Advance Scheduling Re-Proposed as Access to Space for Events

  • Confirms the ability to schedule event spaces after 4:30pm on weekdays, on weekends, during breaks, summer, etc. based on group size.
  • Proposed revisions attempt to simplify the overall procedure while emphasizing that this is a general policy regarding access to space for events, and not constrained to advance scheduling issues alone, esp. related to the summer.

Use of Central Scheduling Tools

  • Defines rooms that should have been included in R25.
  • Will be updated to reflect 25Live implementation and rooms will be loaded in accordance with this policy.
  • Vice Provost with Office of the University Registrar will provide oversight.

Instructional Space Scheduling

This policy implements the faculty’s goal of ensuring that students have as much flexibility as possible in developing their schedules so that they can access the full range of educational opportunities offered by the university. It aims to reduce barriers associated with meeting pattern and time-of-day conflicts. It also seeks to distribute classes evenly throughout the day, thus providing the greatest possible number of non-conflicting time patterns. Finally, this policy promotes fair and efficient stewardship of institutional resources, including classroom facilities, equipment, technical support staff, and administrative staff associated with room scheduling activities.

Three Objectives

This scheduling policy has the following three objectives aimed at achieving conflict-free schedules for students and faculty and efficient use of classroom resources:

  1. Require adherence to faculty-endorsed standard meeting days and times; 
  2. Distribute classes efficiently across scheduling blocks; and 
  3. Promote appropriate classroom utilization.
