IT Governance Framework

Cornell University expects all stewards and custodians of information technology (IT) systems and services to develop, manage, and use those systems and services in a manner consistent with the university's requirements for data security, data confidentiality, and business continuity. In support of this charge, Cornell has developed an IT Governance Framework based on formal policy and delegated responsibilities.

Enable Gmail Confidential Mode – CIT

  • Gmail confidential mode is a feature of Gmail that is currently disabled in Cornell’s GSuite tenant; this allows a user to send a confidential email, with an expiration date, non-forwarding and other features. CIT is proposing to enable this feature in Cornell’s GSuite.

Digital/Multimedia Asset Management – SCJCB

  • SC Johnson College of Business (SCJCB) marketing staff require a system to catalog, and possibly host, video assets (B-Roll) as well as create and share quick concept edits from raw footage. SCJCB Marketing staff have identified Flow by EditShare to be a possible solution and is interested to know what other groups are using.

Pro Tools for Sound Recording and Editing – A&S / Cornell Tech

  • The Milstein Program in Technology & Humanity (under Arts and Sciences (A&S) & Cornell Tech) will be incorporating two sound recording workshops into their Milstein Program Collab and Seminar courses working with two visiting lecturers from World According to Sound. The students will be working on recording the human voice and field recordings for creating eportfolio pieces. The Milstein Program is planning on purchasing Pro Tools from Avid for 5 computers, 4 Macs and 1 PC before the end of the fiscal year, by 6/30/2019.

Apply by Survey Monkey – CAS

  • The Klarman Fellowships in Cornell University's College of Arts & Sciences (CAS) provide postdoctoral opportunities to early-career scholars of outstanding talent, initiative and promise. This initiative, launching on 15 August 2019 (non-negotiable date), requires a process and implemented system for collecting, reviewing, storing, sharing, and scoring candidate applications. CAS proposes “Apply,” a platform run by Survey Monkey, which is specifically designed for grant and fellowship applications.

Apps on Demand – CIT

  • Apps on Demand is an evolution toward cloud-based computer labs that can complement or, in some cases, replace full reliance on traditional physical computer labs for course work. Apps on Demand allows the flexibility of using course required software from a person’s own computer, at a time and location of their choosing, using cloud processing power. Apps on Demand has been piloted since summer 2017 by faculty and students in Cornell classes and will be evaluated over the next year to create a new CIT service. Changing Default Visibility of Zoom Closed Captions Feature – CIT

  • Zoom includes a closed captioning feature which allows a meeting attendee, assigned by the host, to add closed captioning in a meeting. The Office of Diversity and Inclusion has requested CIT to change the Cornell account-wide default setting for the closed captioning feature be changed to visible.

CUBlogs – Abandoned Site Maintenance – CIT

  • The CU Blog Service team is undertaking the effort to deactivate abandoned sites for a more streamlined service that is uncluttered by old, unwanted, unmanaged sites with stale content. CIT will reach out to blog owners who meet this criteria, qualifying for deactivation, and ask for a response on deactivation.

Determine Impact of Systems for NetID Change Process – CIT & SCL

  • The number and types of systems at Cornell is large. When a person requests a change to their NetID, to reflect name and identity changes, the person’s experience across systems may vary. The plan is to analyze the impacts to CIT and Student and Campus Life (SCL) systems, in order to communicate the risks and possible disruptions to systems upfront when a person is considering a NetID change.

SmartTraffik InStore Analtyics Hardware & Software – SCL

  • Cornell Retail Services (CRS) under Student and Campus Life (SCL) wants to implement SmartTraffik, a modern in-store analytics solution for retailers that provides services such as people counting, precise measurement of how space is used via Geolocation and back office integration of data. CRS does not know of any solutions that Cornell University has developed and/or has accounts with that offer such robust customer visit data.

SPS Commerce as EDI SaaS Vendor as connector to Oracle | NetSuite – SCL

  • Cornell Retail Services (CRS) under Student and Campus Life (SCL) has been researching an Electronic Data Interchange (EDI) solution to streamline the order-to-invoice cycle and drop-ship order fulfillment within its core ERP platform, Oracle | NetSuite. CRS is unaware of any other EDI solution at Cornell and is proposing to go with a pre-built solution from SPS Commerce.

Video On Demand Responsive Embed Code – CIT

  • Video on Demand (VOD) offers an embed code to embed a video from VOD on an external website. CIT plans to enable responsive embed code at the administration level, so that the user will have this option available to them; the embed code for a user is off by default.

Macaw Structuring Tool – Library

  • Creating structural metadata for digital collections is a time-consuming task, requiring attention to detail, speed and precision; currently using a locally hosted and managed software system built by a Library developer. Biodiversity Heritage Library (BHL) institutions, of which Cornell is a member, use a cloud-based metadata collection and workflow system called Macaw. Cornell University Library (CUL) proposes to modify an instance of Macaw for internal use to simplify workflows around the CUL Digital Collections platform.

Acquiring Salesforce Outlook Add-on from the Microsoft Store – Lab of O

  • Cornell Lab of Ornithology (Lab of O) employs a stand-alone version of Salesforce to conduct worldwide business-to-business sales. Disable IMAP, POP3, and SMTP for Newly Provisioned NetIDs – CIT

  • IMAP, POP3, and SMTP have become protocols used by attackers to bypass Multi-Factor Authentication protections within email. CIT’s proposal is to pick a date and stop provisioning accounts with IMAP, POP3, and SMTP in both Office365 and GSuite as available protocols.

Insightly – VET (CVBE)

  • The Center for Veterinary Business and Entrepreneurship (CVBE) requires a method of contact and communication management. The proposed short-term solution for this need is to use Insightly, a subscription cloud-based contact management system. The Statement of Need has other solutions considered, including Salesforce.

Retire AuthSMTP (smtp.cornell.edu) – CIT

  • The mail service smtp.cornell.edu, sometimes referred to as “AuthSMTP,” is used by approximately 1800 users. It is composed of on-premise infrastructure that is supported by the Cornell email team, and it is currently considered redundant to services offered by our cloud partners. CIT proposes to begin a campaign to retire smtp.cornell.edu and to have users change email configuration to use Office 365 or G Suite services directly.

CRM System - Library

  • Cornell University Library (CUL) has over ~150 staff whose positions involve outreach and engagement activities with faculty and administrators drawn from all levels and disciplines. Currently CUL has no organized way to capture and organize the data and information generated in these interactions and proposes to use the central instance of Salesforce.

EZ-Backup Spectrum Protect Replacement – CIT

  • After the storage array failure of November 2016 and the introduction of code42, it became clear that the current IBM Spectrum Protect backup product is not meeting the needs outlined in the Statement of Need. CIT has identified an appliance-based product called Cohesity that is expected to meet these needs. The Statement of Need also shares the transition plan.

IT Attendance Tracking Solution – SCJCB & Weill (EMBA’s)

  • The Cornell Executive MBA (EMBA) Metro NY, under SC Johnson College of Business (SCJCB), and the Weill Cornell EMBA programs are both looking to implement a new attendance tracking method and are open to suggestions. SCJCB & Weill would like to explore the possibility of creating a network or digital perimeter of some sort around the two classrooms that both programs use at Cornell Tech. Disable Automatic Google Transfer – CIT

  • Google allows for the transfer of data from a Cornell GSuite account to an external Google account via the user interface. CIT IT Security Office has observed bad actors leveraging this feature to pull compromised users’ GSuite content including email, contacts, google drive files, etc. without their knowledge; therefore, would like to request this feature be disabled globally while still allowing for transfers by request.

Data Management System & Reporting – CREA

  • As a grant-funded organization, the Center for Regional Economic Advancement (CREA) is required to report a complex array of detailed metrics regarding people, companies, programs and events to their funders. CREA’s information is in many disparate places (e.g. Salesforce, Box, Airtable, Eventbrite, Mailchimp, Excel, etc.). CREA proposes to issue an RFP, with the aim of identifying a vendor capable of developing the functionality required (including design a custom User Interface for Salesforce) to accommodate the complexity of their data management system and reporting needs.

App Marketplace / Calendly for Zoom – CIT

  • In October 2018, Zoom introduced an App Marketplace as a central location for delivering tools and integrations for Zoom; built by Zoom and third-party developers. In March and April of 2019, CIT received multiple requests from users to pre-approve one app in particular, Calendly for Zoom. CIT proposes to make Calendly for Zoom available to Cornell users April-May of 2019.

Fitness Center DirecTV Update – SCL (SSIT/CIT)

  • In the summer of 2019, DirecTV will cease broadcasting standard definition (SD) content. This change will impact four fitness centers, which use CIT’s DirecTV based IPTV service to view SD DirecTV content on exercise equipment. It is proposed that the legacy analog video distribution systems (head-ends) in each of the four fitness centers be replaced with a solution that can support digital high definition (HD) programming, still using the vendor DirecTV.

Industrial Control System Replacement - CEP (CIT)

  • The Industrial Control System (ICS) in the Cornell’s Central Energy Plant (CEP) runs the heating, cooling, electric, and water utilities for campus and is isolated from the rest of campus network and the Internet. This Statement of Need proposes to evaluate Ignition! by Inductive Automation and Factory Talk by Rockwell Software; comparing features, compatibility, and costs, to determine the best option to replace the current system, GE Proficy ICS.

Oracle Analytics Cloud Proof of Concept – CIT

  • OBIEE (Oracle Business Intelligence Enterprise Edition) currently supports over 5000 campus users in 30 plus organizations. This Statement of Need proposes to do a Proof of Concept (POC) to explore a path forward for OBIEE, for if or when the campus license is terminated. The POC will evaluate the Oracle Cloud version of OBIEE, Oracle Analytics Cloud, to determine size and costs of a production deployment.

Central Administration of Microsoft Windows Store – SCJCB

  • The SC Johnson College of Business (SCJCB) defines group policies to deny the Windows Store to reduce unwanted software installations; currently, the Store works with all or nothing access. SCJCB would like to be able to manage, at a unit level, what software can be installed from the Windows Store for their user base and is not sure if this is possible with the way Microsoft Office 365 is administered.

Digital Marketing System – CALS

  • CALS Marketing and Communication (Marcomm) currently uses Mailchimp for distribution of emails, newsletters, and other communications. With their web redesign underway, Marcomm plans to expand their use of a Customer Relationship Management (CRM) system and Digital Marketing Automation to better track recipients, consolidate communication, integrate with the new website, and have a common analytics platform for CALS. Adobe Sign integration with Salesforce CSEI – CIT

  • As part of the Cornell Student Experience Initiative (CSEI) rollout, we are finding a legal need for electronic signatures on documents. The Cornell enterprise tool for electronic signatures is Adobe Sign. CIT is requesting to integrate Adobe Sign with Salesforce so that it can be used for the CSEI rollout and be available for future needs.

PDF Accessibility Remediation - CIT

  • Cornell is currently undergoing a broad web accessibility initiative to meet ADA federal compliance standards and the Web Content Accessibility Guidelines (WCAG) for top websites by the end of 2019. One of the more time-consuming challenges in making content accessible is to remediate inaccessible documents (namely PDFs). CIT seeks to engage in an RFP process to identity one or two vendors to assist with document remediation.

Pilot Occuspace at Cornell Law School – Law

  • Congestion in popular campus regions, in particular as it relates to study spaces, libraries, cafeterias and gyms, is increasingly a concern for students. The Cornell Law School is interested in testing a one-year pilot of Occuspace, an occupancy-sensing system that determines space congestion in real time based on radio signals (Bluetooth, WiFi) from laptops, cell phones, smart watches, etc. in a given area.

Campus Groups for CCE Units – CCE (SSIT)

  • Over 1,000 student organizations register with the Campus Activities Office each year. Currently, those organizations register using a third-party software platform called OrgSync, which will no longer be offered. A proposed IT solution would be to use Camps Groups, a system already deployed at the Johnson School and Cornell Tech, which could be used across Cornell Cooperative Extension organizations.

Discontinue Support of CUWebAuth for Windows – CIT

  • CUWebAuth is an in-house developed application loaded onto web servers that works with CUWebLogin providing central authentication and authorization to websites. CUWebAuth for Windows depends on Kerberos for Windows (KFW); the latest version of KFW doesn’t work with CUWebAuth which introduces a number of security concerns. CIT will encourage system administrators to use Shibboleth Service Provider as the replacement of CUWebAuth for Windows, affecting about 40 IIS servers.

Email Enabled Security Groups To Include Weill Accounts – CHE

  • The College of Human Ecology (CHE) uses the Ithaca-based active directory and its email enabled security groups to communicate with Ithaca-based units and individuals.   • The IT Security Office (ITSO) offers a product called “Scan-on-Demand” as part of its Vulnerability Scanning service. This Service needs to update Nessus, a product used by Scan-on-Demand. When updated, Nessus will not provide multi-user support and CIT has a workaround for this shortcoming.

              • Apps on Demand is an evolution toward cloud-based computer labs that can complement or, in some cases, replace full reliance on traditional physical computer labs for course work. Apps on Demand has been piloted since summer 2017 by faculty and students in Cornell classes and will be evaluated over the next year to create a new CIT service.               Student Directory Authentication - CIT
