Entry-Exit Glossary

This article applies to: Entry-Exit

Application Administrator - The person who supports the entire Entry-Exit service and creates new Units and authorizes Unit Administrators. (The formal term is "Service Administrator.")

Acceptee - An Assignee who has accepted a Task in an active HR Event.

Assignee - Anyone who is assigned to a Task in an active HR Event.

Assignee Group - If the same individuals are used as Default Assignees in multiple Tasklist Templates, a Section Administrator can create an Assignee Group which contains those individuals, and can be used to specify the Default Assignees.

Default Assignee - Someone who is listed as an Assignee in a Tasklist Template. They will not become an actual Assignee until the Event is dispatched.

Dispatch Event - The act of making an Event active, which will create Tasks and send automated notifications. (The formal term is “Dispatch Tasks.”)

Dispatch Tasks - The act of making an Event active, which will create Tasks and send automated notifications.

Draft Tasklist - If the Initiator has entered all the information for an HR Event into the Entry/Exit application, but is not ready to dispatch tasks, it can sit in draft mode. In this condition, the tasks would be considered a Draft Tasklist.

Due Date - The date on which a Task is expected to be completed. This is calculated from the Effective Date and the Plus/minus days until due field.

Effective Date - Each HR Event has an Effective Date: the worker’s first day on the job for positions that are being filled, or their last day on the job for positions that are being vacated.

Event - A specific instance of a specific person filling or vacating a specific Position. (The formal term is "HR Event.")

Group - See “Assignee Group.”

HR Event - A specific instance of a specific person filling or vacating a specific Position.

Initiator - The person who initiates an HR Event in the Entry-Exit application

Plus/minus # days until due - Every HR Event has an Effective Date, which is either the new worker’s first day, or the departing worker’s last day. Some tasks will be due before that day, and some tasks don’t need to be completed until after that day. The “Plus/minus # days until due” will specify that in the Tasklist Template. For example, if a task must be completed 5 days prior to a new worker’s start date, the value would be -5. If it can be completed up to 3 days later, the value would be 3. If it should be completed on that date, the value would be 0.

Recipe - A collection of reusable Tasklist Templates. The Recipe is a convenience feature so that reusable collections of Tasklist Templates can be specified for an HR Event quickly and easily.

Section - This is an Entry-Exit application construct that corresponds to a work group that will manage and execute tasks during an HR Event.

Section Administrator - The person who is responsible for maintaining the list of tasks that are performed during an HR Event. It is typically the supervisor of the work group that performs the tasks.

Service Administrator - The person who supports the entire Entry-Exit service and creates new Units and authorizes Unit Administrators.

Supervisor Designee - If the Supervisor of the worker who is filling or vacating a position is too high-level, or otherwise will not perform tasks and respond to automated notifications, a Supervisor Designee can be specified who will cover those responsibilities.

Task - An item in a Tasklist Template becomes a Task when the Event is dispatched and a specific due date is assigned.

Task Description - The detailed description for an item in a Tasklist Template. It is possible to link out to more detailed descriptions if necessary.

Task Title - A brief description of an item in a Tasklist Template.

Tasklist - A list of tasks that have been dispatched for an HR Event.

Tasklist Recipe - See “Recipe.”

Tasklist Template - A reusable list of tasks that are to be executed during an HR Event.

Template - See “Tasklist Template.”

Unit - An organizational entity at Cornell, presumably at the level serviced by an HR Director.

Unit Administrator - The person who oversees a Unit in the Entry-Exit application (usually the unit's HR Director, Workday HR Rep, or their representative). Duties include creating Sections and authorizing Section Administrators, authorizing Initiators for the unit, and creating Tasklist Recipes.

Validator - The person who “validates” that all tasks were adequately completed for an HR Event, and that the Event has been concluded.

Worker - The person who is filling or vacating a position in an HR Event.
